We are recruiting for a Senior Administrator to join our team. This is a busy and varied role suited to someone diligent and with a passion for detail. As a senior administrator you will monitor and improve accuracy of information flows in various systems; ensuring compliance with company procedures and creating and maintaining an accurate invoice and PO tracking database; you will be a single third - party point of contact. Hybrid working arrangement is possible for the right person.
What you'll do:
Review and reporting
- Process review and improvement for all the above (continuous improvement)
- Permit management, administration and reporting of third parties’ usage, billing etc.
- Work with our development team to devise and implement system enhancements based on process reviews/reporting/feedback/compliance checks
- Ongoing management and active reduction of ‘incorrect’ PNs being issued
Revenue protection
- Reconciliation of reporting to revenue expectations (whether billed by GTR or APCOA)
- Third party billing relating to block bookings/ancillary car park sales
- Audit and compliance checks
Operational
- To assist the Contract Manager in producing weekly/periodic/monthly measurements of each teams
performance
- To provide administrational support to the Contract Team ensuring that accurate records are kept.
Parking faults – Log and report all parking faults directly with equipment maintainers, chase up outstanding jobs/engineers, monitor attendance times for KPI's and create and maintain an accurate tracking database
- Input Accident/Incidents onto online reporting system as per company procedure
To place orders on behalf of the contract team, take deliveries & maintain records to confirm the receipt of goods/services
- Work with our development team to devise and implement system enhancements based on process reviews/reporting/feedback/compliance checks
- Ongoing management and active reduction of ‘incorrect’ PNs being issued
- To identify, establish and maintain positive business relationships with the client and attend ad hoc meetings when required.
- Ensure specified response times are met, in accordance with contractual and local agreements
- Establish and maintain strong internal and external stakeholder partnerships
What you'll bring:
- Proven leadership and administration experience in a commercial customer facing environment
- Proven ability to communicate effectively at all levels.
- Ability to deliver challenging and demanding targets.
- Advanced level knowledge of Microsoft Packages – specifically -Excel, PowerPoint, Word
- Experience with cost controls and budget
- Experience in the preparation and delivery of operational / managerial reports and presentations
- Educated to GCSE level or relevant knowledge and experience
- A full UK driving licence
